Who we are
This notice applies to Kerala Medical Device Industry Association (KMDIA), whose registered office is at 9/595A, Kadayiruppu, Pattimattom, Ernakulam, Kerala 682311, India. KMDIA is the data controller for the information described below.

What we collect
KMDIA only collects information you choose to give us. There are three routes, and each one is clearly labelled on the page where it appears.
- Membership interest: your name, work email, telephone number and designation, together with your organisation's name, website, type, area of work, description, stage, licence status, Kerala presence and reasons for interest.
- Event interest: your name, work email, telephone number, organisation, designation, participant profile, areas of interest and any accessibility requirement you tell us about.
- Contact enquiries: your name, work email, telephone number, organisation, designation, enquiry type, subject and message.
What we do not collect
We do not ask for identity numbers, personal financial details, bank or card information, licence document uploads, incorporation certificates, tax returns or health information at the enquiry stage. If any of these become genuinely necessary later, they are requested through a controlled application process, not through this website.
This website does not use advertising trackers or third-party analytics, and it does not build a profile of your browsing.
Why we use it
The legal basis for the first three is our legitimate interest in responding to an enquiry you initiated. The fourth relies on your consent, which you can withdraw at any time.
- To review a membership enquiry, identify the likely category and respond to you about the next step.
- To manage event registration and send you the venue, timing, programme and attendance details.
- To answer a general, programme, collaboration, media or institutional enquiry and route it to the right person.
- To send association news and programme updates, but only where you have separately opted in.
Marketing consent
The option to receive association updates is always separate from the consent needed to answer your enquiry, and it is never pre-selected. Declining it does not affect how we handle your enquiry.
To stop receiving updates, use the unsubscribe link in any update email or write to secretariatkmdia@gmail.com. We act on the request without asking you to justify it.
Who sees it
Submissions go to the KMDIA Secretariat. Within the association, access is limited to the people who need it to respond: the Secretariat, and where a membership decision is required, the authorised reviewing body.
We do not sell your information, and we do not share it with other members or third parties for their own marketing. Information is disclosed outside KMDIA only where the law requires it.
Email delivery for these forms is handled by our email service provider acting on our instructions.
How long we keep it
- Enquiries that do not proceed: 24 months from the last contact, then deleted.
- Membership records: for the duration of membership and for seven years afterwards, to meet statutory and audit obligations.
- Event registrations: 12 months after the event.
- Mailing list entries: until you unsubscribe.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it if it is wrong, ask us to delete it, or object to how we are using it.
Write to secretariatkmdia@gmail.com with your request. We respond within 30 days. If you are not satisfied with our response, you may raise the matter with the relevant supervisory authority.
Security
The site is served over HTTPS. Form submissions are transmitted over an encrypted connection and delivered to a monitored Secretariat mailbox. Access to that mailbox is restricted to authorised personnel.
No system is perfectly secure. Please do not send commercially sensitive or confidential material through the website forms; contact the Secretariat and we will agree a suitable route.
Changes to this notice
If we change how we handle your information, we update this page and change the date shown alongside it. Material changes affecting people who have already contacted us are notified directly.
Questions about your information
The Secretariat handles all privacy questions, access requests and deletion requests.
